AI Tool Terms and Conditions

Last updated: June 2026

1. Scope of AI Services

These AI Tool Terms and Conditions ("AI Terms") govern your use of artificial intelligence features, tools, and capabilities offered within the syncHR platform ("AI Services"). By accessing or using the AI Services, you agree to be bound by these AI Terms in addition to syncHR's general Terms of Service and Privacy Policy.

syncHR ("syncHR," "we," "us," or "our") provides AI Services designed to assist with HR-related tasks including but not limited to content generation, data analysis, reporting, and process automation.

2. Data Usage and Privacy

When you use AI Services, data you submit may be processed by third-party AI model providers to generate responses. syncHR does not use your data to train or improve third-party AI models unless explicitly authorized by you in writing.

We implement appropriate technical and organizational measures to protect data transmitted to and from AI Services, including encryption in transit. However, you should not submit sensitive personal information (such as Social Security numbers, financial account details, or protected health information) to AI Services unless such submission is expressly authorized by your syncHR agreement.

3. Limitations of AI-Generated Outputs

AI Services generate outputs based on patterns in training data and may produce results that are inaccurate, incomplete, or not suitable for your specific circumstances. syncHR makes no guarantee regarding the accuracy, reliability, or completeness of AI-generated content.

AI-generated outputs should not be used as the sole basis for employment decisions, compliance determinations, or any other action that could have legal or financial consequences. All outputs require independent verification.

4. Human Review Requirement

You are responsible for reviewing, editing, and validating all AI-generated outputs before using them in any business process, communication, or decision. syncHR's AI Services are assistive tools and do not replace professional judgment, legal counsel, or human oversight.

You must ensure that any person using AI Services on your behalf is trained on the appropriate use and limitations of AI-generated content.

5. Compliance with Applicable Laws

You are solely responsible for ensuring that your use of AI Services complies with all applicable federal, state, and local laws and regulations, including but not limited to employment laws, data protection laws, and any emerging AI governance frameworks.

syncHR makes no representation that AI Services are compliant with the laws of any specific jurisdiction outside the United States. If you access AI Services from outside the United States, you do so at your own risk and are responsible for compliance with local laws.

6. Intellectual Property

As between you and syncHR, you retain ownership of any data you input into AI Services. syncHR does not claim ownership of AI-generated outputs. However, you grant syncHR a non-exclusive, royalty-free license to use feedback and suggestions regarding AI Services for improvement purposes.

7. Disclaimer of Warranties

AI SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTY OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO THE IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

8. Limitation of Liability

To the maximum extent permitted by law, syncHR shall not be liable for any damages arising from or related to your use of AI Services, including but not limited to direct, indirect, incidental, consequential, or punitive damages, even if syncHR has been advised of the possibility of such damages.
