Moving from spreadsheets to a proper HRIS is a milestone for any growing company. But migrations can go wrong fast without a clear plan.
1. Data Audit
Catalog every spreadsheet, file, and system that contains employee data. Identify duplicates, outdated records, and missing fields before you migrate.
2. Clean Before You Move
Standardize name formats, job titles, and department names. Remove terminated employees past your retention window. Clean data migrates faster.
3. Map Fields Carefully
Create a field-by-field mapping between your current system and the new HRIS. Test the mapping with a subset before running the full migration.
4. Run Parallel
Run both systems in parallel for at least one payroll cycle. Compare outputs and reconcile discrepancies before cutting over.
5. Train Before Go-Live
Give your team hands-on training in the new system before the go-live date. In practice, teams that give role-specific training to managers, HR, and employees often see support tickets drop by around 60%.
